"Time-Sensitive Information: Agent-of-Record (AOR) Retention for Open Enrollment Period (OEP) & Associated Special Election Period (SEP)

Attention: You are receiving this communication because our records indicate that you are the Agent of Record (AOR) for UnitedHealthcare plan members who will be affected by changes to their current UnitedHealthcare plan.

Each year, we have members who are affected by plan disruptions in the form of Service Area Reductions (SARs) or plan exits. We will support members and agents during this transition. As part of that support, our policy this year is to retain the Agent of Record for SAR impacted members with an MA option in 2014.

Members will receive a notification letter with instructions to contact Telesales to discuss options or visit our website. If the member has an MA option, they will also receive an outbound call from Telesales. If the member enrolls in a new plan through Telesales or via web or paper application without the assistance of another agent, the Agent of Record will be retained.

Since you are the AOR, we encourage you to contact your impacted members after October 2, 2013 (in home date for member letters), to ensure the member has received his/her official notification. Do not contact the member prior to October 2, 2013. Please assist each member to find the most appropriate UnitedHealthcare Medicare health plan option available to them. Remember, according to CMS regulations, you are not permitted to discuss 2014 plan benefits until after October 1, 2013. Members can call into Telesales to complete an enrollment, or enroll via web or paper application without involvement of a renewal-eligible agent, and your AOR status will be maintained.

Please review the "Agent of Record Responsibilities and Guidelines" and Frequently Asked Questions (FAQ) documents for important information. As a licensed, contracted and appointed (if applicable) agent with UnitedHealthcare, it is your responsibility to review and follow these guidelines.

Beginning October 21, you will be notified on a weekly basis if any of your impacted members enrolled through a non-renewable eligible agent. If you are not an active bConnected user, you will be notified if an impacted member requests an appointment with you. When you receive a notification, the member information will be available on the Agent Toolkit.

Access the Agent Toolkit on the homepage of the UnitedHealthcare Distribution Portal UnitedHealth Advisors - (ICA/ISR agents) or UnitedHealth Producers (FMO agents) under the Links section to view member enrollments and/or appointment requests (non-bConnected users only). No AOR member information will be available in the Agent Toolkit until October 21. All questions regarding the AOR program should be directed to PHD.
