Thank God - Last Week Of AEP

We used timetrade.com to let clients set up their own appts on our calendar (we block times depending if new client or existing). We keep their drug list id, county (sometimes needed on medicare.gov), and password date on file.

We update meds as needed during the conversation. Use www.join.me to do a screen share with clients so they can see what's going on (email link is best with join.me).

Have about 25 clients to review this week. Have made several attempts with some, but no luck. Hope to catch those this week. Glad this part is almost over. With next year's over/under 65 AEP on top of each other, not sure what that will be like....
 
Last year was rough. Lost 4 clients last year. One thing they all had in common, was that I wasn't able to get a hold of them.
This year I have not been able to get a hold of 2 clients...
 
We mail to current clients, we want to get their plan review done, get them talking to friends, start the activity. We do not include a envelope, it is up to them to mail it back, they don't have a problem with it. The post cards go to non-clients. Buying list is simple and cheap. The first post card should have a return service request so you can take off bad addresses, then eliminate the line that indicates return service requested. That or include "or current resident" so that it gets left no matter what. This is the second year to do the post card and we picked up several clients, some said "you mailed this last year and I didn't listen, I should have". We dropped it three times this season.

I've never tried a mailing with no return envelope at all.

A couple of years ago I mailed scopes out to our client base and was out of business reply envelopes. I did the mailing with addressed envelopes but no stamps on them. They had to pay their own return postage. I didn't think we would get many to do that but we still got a very good response. And the people who paid their own postage are a little better qualified.

My only other experience with mailers with no reply envelopes was when MSPM screwed up a survey mailer for me several times in a row. It was a survey that they were to fill out and mail back in a business reply envelope. Except MSPM forgot to include the return envelopes. If you want to know how that affects returns on general mailings, it is huge. That mailers consistently gets 2% returns with the reply envelopes. With no envelopes...1 return per 1,000 on 3,000 mailed.
 
What do you do if they want to switch their med sup? Or say, "how do I get silver sneakers in my plan?". Or any of the other time sucks, ie my friend has...
 
I feel obligated to remind everyone that god had nothing to do with the start or end of aep. It was Congress and CMS.

So you can thank Congress/CMS that AEP is ending. You can thank god for cancer.

The last 2 weeks have been insane. Lot's of 12/1 start dates. Glad that's over. Now, we are dealing with the procrastinators, which I don't get excited to help out.
This year my challenge was return calls. My assistant was amazing and handled 90% of the issues, but 10% needed me. I fell behind because I had no breaks for calls during the day. In fact, I couldn't even take a bathroom break! After all my appointments, the last thing I wanted to do was get on the phone, I just wanted to go lay down. Next year, I'm blocking out time for calls.
Other than that, it has been a profitable AEP for me.
